A reminder regarding expenses and invoices requiring payment

A quick reminder of the process for getting expenses reimbursed.

  1. Please complete an expense form, which you can download from the members’ secure area of the website. The form can be downloaded in PDF format (to print and complete by hand) or Excel format (to complete on your computer). Once complete, follow the instructions on the form including how to send to me. Link to PDF version: http://www.tudorsailing.org.uk/TudorSailing/04_membersecure/Exec_Documents/Upload/TSC%20Expenses%20claim%20form%202017.pdf
  2. Receipts MUST be supplied. When making a purchase on behalf of the club, please ensure you obtain a VAT invoice or receipt where possible. There has been a recent increase in people buying things cheaply using sites such as eBay thinking that saves the club money. Bear in mind that in most cases we can offset VAT on purchases against VAT on sales, provided we can evidence the VAT. This means what seems the cheapest may not be the cheapest when compared with buying from a vendor that provides a proper VAT invoice.
  3. Where possible we prefer to make payment to vendors directly from the club’s bank account (rather than a member paying and reclaiming expenses). Please always explore whether this is an option. If forwarding an invoice for payment, please mark that it needs payment direct to the vendor and make sure the invoice includes the vendor’s bank information.

Dutyman – second half of the season

As per emails sent out by Dutyman, the second half of the season has been released and, if you are trained as a PB1 or PB2 member, you are expected to sign into Dutyman to identify those events which you would like to do as duty and, more importantly, those dates which you know you cannot do. If you fail to do this, it is quite likely that you will then be assigned duties which may be inconvenient to you. At the time of writing, 24 members have still not made their preferences known on Dutyman. Please be aware, if you are assigned a duty which is not convenient to you (because you have failed to record your preferences) it becomes your responsibility to find someone to replace you Please just make life easy by going into Dutyman and at least recording the dates that you really cannot make!

Club Boats – limits of usage

Our new club boats are getting lots of use by a range of different people which is great to see. However, please note that the construction of these types of boats, whilst being excellent and very forgiving or less experiences sailors, means that they are not designed for high octane sailing in extreme conditions. If it takes three of you to keep a Quba upright in a strong wind, then it probably means that you are putting unnecessary stress through the mast and the mast step which could result in catastrophic damage. As such, please note the following restrictions that the Sailing Committee have decided to place on using the club boats. The Quba should have no more than 2 people sailing it and the Feva, no more than 3. When the wind is gusting above 24 knots (which you can determine using the equipment in the race box or online resources or just by your own observation), then the club boats should not be used. If members are seen using the club boats outside of these constraints, either in terms of occupancy or weather conditions, and damage is incurred, either to the sails or the hull, this will need to be remedied at the personal cost of the members involved.

We are confident that you will appreciate that it is all of our responsibilities, as members, to ensure that we make these club boats last as long as possible so that we can maximise the number of members who benefit from them over the years.
