Dear Tudor

Club member Chris Wells has asked me to confirm that, contrary to the statement in the Accountant’s Letter provided to club members, he is not in debt to the club nor has he ever been in debt to the club. I apologise to Chris for the distress the statement in the accountant’s letter has caused him.

He has also asked me to provide an explanation of what occurred, which was a technical timing matter, and not the fault of Chris. This is a summary of what I told him. As I explained to members present at the AGM, after close of the banking day on 31st October (the last day of our financial year) but before midnight, Chris purchased some club event tickets using Paypal. This left our accounting system with confirmation that the purchase had gone through in the 2017/18 financial year, but without sight of the actual payment, as the transfer from Paypal to our bank account took place in the 2018/19 accounting year. The system therefore left the transaction flagged on the accounts as a debt as of 31st October 2018. Our accountants look at the accounts at a point in time and are therefore not able to differentiate between a debt in the normal sense of the word, and a technical timing ‘debt’ issue that will naturally resolve. The ‘debt’ has subsequently resolved itself.
